About The Fridge Entertainment and Why Their HR Requirement Was Different

The Fridge is one of the UAE's most recognised live entertainment companies, known for award-winning productions, talent booking, and large-scale event programming across the region. Based at Alserkal Avenue in Dubai's creative district, the company also operates an office in Riyadh and manages a growing number of remote team members based in Spain, Philippines and Germany.

Managing HR for a creative entertainment business is not straightforward. The workforce is spread across five countries, each with different working week structures, different annual leave entitlements under local labour law, and different end-of-service benefit calculations. At the same time, the company works with a large pool of freelancers for event production who needed to be managed through a structured directory rather than informal spreadsheets.

The HR Challenges Facing a Creative Entertainment Business with a Distributed International Team

Most HR software is built for a single country, a single labour law, and a single working week. The Fridge operates across five countries with three different working week structures and two distinct labour law frameworks. This created five layered challenges that no off-the-shelf system could solve without significant configuration:

1. Different Labour Laws for UAE and Saudi Arabia: The Dubai team and the Riyadh team have different annual leave entitlements, different public holiday calendars, different end-of-service benefit calculations and different rules for leave types such as maternity, paternity and compassionate leave. Running both under the same HR rules would have created compliance exposure in both markets.

2. Three Different Working Week Structures: The Dubai office works Monday to Friday. The Riyadh office works Sunday to Thursday. The three remote employees in Spain, Philippines and Germany work Dubai hours regardless of their local time zone. A single attendance and leave calendar could not accommodate this without custom configuration per employee group.

3. Freelancer Management Had No Structure: The entertainment industry relies heavily on freelancers for event production, talent management and technical production support. The Fridge was managing their freelancer pool through informal channels with no centralised directory tracking CVs, experience, contact details and skill sets. Finding and re-engaging the right freelancer for each production was slow and inefficient.

4. Complex Air Ticket and Settlement Policies: The company provides one air ticket per year to eligible employees, with the amount added to salary based on each employee's date of joining. End-of-service calculations differ between UAE (standard UAE gratuity law) and Saudi Arabia (15 days per year of service based on full monthly salary divided by 30). Calculating these accurately and consistently without a system was a significant manual burden.

5. No Self-Service Access for a Geographically Spread Team: With staff across five countries, the HR team in Dubai could not be the single point of contact for every leave request, payslip query and letter request from 29 employees in different time zones. A self-service portal was not optional, it was operationally essential.

Key Differentiator: One HR System Configured for Two Labour Law Frameworks and Five Countries

UAE employees and remote staff follow UAE labour law for leave entitlements, annual leave of 24 working days, UAE gratuity calculations and WPS payroll processing. Saudi Arabia employees follow KSA labour law with 21 working days annual leave, Saudi-specific leave types including Hajj leave and marriage leave, and the KSA gratuity formula of 15 days per year of service based on monthly salary divided by 30. Both configurations sit inside the same system, with the same admin login, giving the HR team a complete view of the entire workforce without managing two separate platforms.

HRMS and Employee Management

Full employee lifecycle management for all 29 staff across five countries. Employee profiles include personal details, photos, asset tracking (laptop, phone, MacBook, charger per employee), document management with automatic expiry alerts for visas and contracts, and emergency contact records. The system is branded with The Fridge's own colours and logo within the interface.

Core Module

Payroll Processing and WPS

Monthly payroll processing for The Fridge Entertainment as the single WPS-registered entity. Fixed allowances include Basic, Housing Allowance and Travel Allowance. Variable deductions and temporary allowances are handled through a dedicated register. Absent day deductions apply on gross salary calculated by calendar days. Payroll cutoff is set to the 28th of each month with salary distribution exclusively through bank. Air ticket entitlement is added to salary automatically based on each employee's date of joining, once per year for eligible staff.

Key Configuration

Country-Specific Leave Management and End-of-Service Benefits

Two separate leave and gratuity configurations were built within the same platform:

UAE and Remote Employees: 24 working days annual leave with 5 days carry-forward. All UAE statutory leave types configured. Gratuity calculated as per UAE Labour Law. Air ticket benefit after 1 year of service. Part-time employees excluded from air ticket and annual leave.

Saudi Arabia Employees: 21 working days annual leave. KSA-specific leave types including Hajj leave, marriage leave, paternity, maternity and examination leave. KSA gratuity formula: 15 days per year of service, calculated as (monthly salary divided by 30) multiplied by 15 multiplied by years of service.

Employee Portal

Employee Self-Service Portal β€” 35 Users

All 29 employees plus additional users have access to the ESS portal regardless of their country or time zone. Through the portal, staff can request full day or half day leaves, view real-time leave balances across all leave types, download payslips, request HR letters including salary certificates, view attendance records and submit work-from-home requests. This portal operates identically for the Dubai office, the Riyadh office and the three remote employees in Europe and Asia.

A performance management module was configured to support goal setting, performance reviews and appraisal tracking for all employees. Upcoming review deadlines appear as dashboard notifications so the HR team is alerted in advance. Separately, a structured freelancer directory was built within the recruitment module, enabling The Fridge to store, search and manage their pool of production freelancers with CV attachments, experience records, email addresses and skill data all in one place.

Deployment:

Cloud-based on Amazon Web Services (AWS), giving all five country locations equal, real-time access to the same HR platform from any internet-connected device. The remote team in Spain, Philippines and Germany access the same system as the Dubai and Riyadh offices with no additional infrastructure required at any location.

Microsoft .NET Framework, Microsoft SQL Server, DevExpress for UI and reporting, and Amazon Web Services for cloud hosting. All HR and payroll data is encrypted in transit and at rest, with role-based access ensuring each user sees only the data relevant to their role and location.

WPS and Payroll Output:

The system generates WPS-compliant SIF files for The Fridge Entertainment as the registered WPS entity in the UAE, ready for direct import to the company's bank or exchange. Payslips are generated within the system and made available to employees through the ESS portal immediately after payroll processing is complete each month.
