Industrial Material Supply FZCO (IMS) is the GCC's largest stockist and supplier of carbon steel and stainless steel pipes, fittings, flanges, and industrial accessories, operating from a strategic location at Jebel Ali Free Zone, Dubai. With over 80,000 tons of inventory across facilities in the UAE, Saudi Arabia, and Egypt, IMS supplies major players in the Oil & Gas, Petrochemical, Power & Desalination, Civil Construction, Shipbuilding, and Marine industries including clients approved by ADNOC, Saudi ARAMCO, SABIC, Shell, and GASCO.

With a large multinational workforce operating across demanding industrial environments, IMS required a comprehensive HR and payroll software solution that could handle the full complexity of their workforce management from employee onboarding and leave accrual to WPS-compliant payroll processing and overtime calculation.

Critically, IMS already used SAP as their core enterprise system. Any HR software implementation needed to integrate directly with SAP's payroll module, ensuring that payroll data processed in TrueBays' HRMS flowed automatically into SAP without manual data re-entry or reconciliation. HR Challenges for a Large Industrial Company Operating in a UAE Free Zone

Managing a sizeable industrial workforce at Jebel Ali Free Zone came with a specific set of HR and payroll challenges that generic HR tools could not adequately address:

1. Complex Payroll Requirements: IMS employees have diverse payroll structures including overtime calculations, loan deductions, temporary allowances, employee provisions, and settlement processing. Manual payroll management at this scale was time-consuming and prone to errors, with any mistake directly impacting employee satisfaction and UAE labour compliance.

2. WPS Compliance: As a UAE-registered company, IMS is required to process salaries through the Wages Protection System (WPS). The HR system needed to generate WPS-compliant SIF files automatically, removing the manual preparation that was creating bottlenecks at each pay cycle.

3. SAP Already in Use, Integration Was Non-Negotiable: IMS runs SAP as their core enterprise platform. The new HR software could not operate as a completely separate silo, payroll data processed in the HRMS needed to flow directly into SAP's financial and payroll modules in real time. Any HR vendor without proven SAP integration capability was not considered.

4. No Centralised Employee Self-Service: With over 150 employees in an industrial environment, the HR team was handling a high volume of routine requests like payslip queries, leave applications, document requests, that consumed significant administrative time each month. Employees needed a self-service channel to manage their own HR interactions independently.

5. Manual Attendance Tracking: Attendance data for an industrial workforce working across shift patterns required accurate biometric recording. Manual sign-in sheets were not reliable enough for a company of this size and were creating discrepancies in overtime calculations and payroll.

Key Differentiator: Live SAP Payroll Integration

Unlike many standalone HR systems that operate in isolation, TrueBays' HRMS was integrated directly with IMS's existing SAP ERP. Payroll data including salary components, deductions, allowances, and employee settlements is synchronised between the two systems automatically, eliminating double-entry and ensuring financial records in SAP remain accurate at all times. Installation, Training, Data Migration & Support

All training was conducted on-site at IMS's Jebel Ali Free Zone facility to ensure the HR team was fully confident before going live.

Component C — Integrations

Biometric Attendance + SAP Payroll Integration

Biometric Integration (1 Location): The biometric attendance device at IMS's Jebel Ali facility was connected directly to the HR system, automating punch-in/out data capture and feeding it directly into attendance records, OT calculations, and payroll without any manual data entry.

SAP Payroll Integration: A live, bi-directional integration was built between TrueBays' HRMS and IMS's SAP ERP system. Payroll components processed in StackHX including salaries, deductions, allowances, and settlements are automatically synchronised with SAP, eliminating the need to re-enter payroll data and ensuring the finance team's SAP records remain accurate and up to date.

Results After HR Software Implementation

The biometric attendance device at IMS's Jebel Ali Free Zone facility was integrated with StackHX via TrueBays' attendance middleware.
