About International Group Trading Co LLC and Why Their HR Setup Required a Custom Configuration

International Group Trading Co LLC (IGT) is a UAE-based FMCG supply chain and distribution company, supplying fast-moving consumer goods to retailers across the UAE through an innovative and efficient logistics network. Running a distribution business means managing a workforce that spans two very different operational environments: office-based administration and sales teams, and warehouse operations that run across three shifts to support continuous distribution activity.

With 174 employees spread across different working schedules and roles, IGT needed an HR and payroll system that could handle the operational complexity of a distribution business, including shift scheduling for warehouse staff, progressive biometric late penalty rules that automatically convert repeated lateness into salary deductions, and a mobile app allowing 100 employees to clock in and out from their phones rather than requiring all staff to pass through a fixed biometric terminal.

Additional requirements that went beyond standard HR software included a grade-based air ticket policy with a fixed AED 1,500 disbursement through payroll, ILOE (insurance) document expiry tracking alongside standard passport and visa alerts, a salary hold feature for resigned employees, a training recovery deduction of AED 5,000 on early resignation, and salary payment via C3 (Edenred UAE) in addition to standard bank transfer.

The HR Challenges Facing a UAE FMCG Distribution Business With Warehouse and Office Operations

A trading and distribution business manages fundamentally different types of workers in the same company. Office staff have structured hours and standard leave entitlements. Warehouse staff work rotating shifts around the clock with attendance that needs to be captured in real time and tied directly to salary deductions. IGT was dealing with six specific challenges that a generic HR system could not address without careful configuration:

1. Warehouse Staff Needed a Mobile App, Not Just Fixed Biometric Terminals: Requiring all warehouse staff to queue at a fixed terminal at shift changes creates congestion and delays. IGT needed a mobile check-in and check-out solution that 100 employees could use from their own phones, making attendance capture faster and more flexible without eliminating the audit trail of a biometric or digital timestamp.

2. Three Warehouse Shifts Required a Shift Master Configuration: Morning, afternoon and night shifts each have different start and end times and different break windows. Tracking which employee is on which shift, recording their attendance accurately and calculating deductions for late arrivals requires a shift-aware attendance system, not just a time clock.

3. Late Arrivals Needed Progressive Penalty Rules Built Into Payroll: IGT has a formal lateness policy: being more than 15 minutes late triggers a late marker, being late more than 4 times in a month triggers a half-day salary deduction, and being late more than 6 times triggers a full day deduction. These rules needed to be enforced automatically by the system rather than tracked manually and applied as one-off adjustments by HR at month-end.

4. Leave Accrual Rules Change Based on Length of Service: Annual leave does not accrue during the first 6 months of employment. Between 6 and 12 months, employees accrue 2 days per month. After 12 months, the accrual rate changes based on the employee's working week category. Applying these tenure-based rules accurately across 174 employees manually was creating errors in leave balances.

5. Resignations Required Multiple Automatic Deduction Rules: When an employee resigns, the system must check for outstanding loans, unserved notice period, and whether they are within their first year of employment (which triggers a training recovery deduction of AED 5,000). These rules apply differently depending on whether the separation is a resignation or a termination.

6. Air Ticket Eligibility Varied by Employee Grade: Some employees qualify for one air ticket per year while others qualify for one every two years depending on their grade. All eligible air tickets are paid as a fixed AED 1,500 allowance through payroll, not as actual ticket reimbursements. Tracking eligibility by grade and tenure and triggering the allowance through payroll required a configurable air ticket management module.

Key Differentiator: Mobile Check-In and Check-Out App for 100 Users

Progressive Biometric Late Penalty System

IGT's lateness policy is enforced automatically within the attendance and payroll modules. No manual tracking required from the HR team.

IGT's leave management uses a tenure-based accrual model where the monthly accrual rate changes depending on how long the employee has been with the company. All unused annual leave can be carried forward. No leave accrues in the first 6 months.

Sick leave: 15 days at full pay, followed by 30 days at half pay, then unpaid. No sick leave is permitted during the probation period. All unused annual leave balances carry forward to the following year.

Air ticket entitlement is configured by employee grade: some grades are eligible for one air ticket per year while others qualify for one every two years. When eligible, a fixed AED 1,500 amount is added as an allowance through payroll, not as a reimbursement process. The system tracks eligibility based on grade and date of joining, and flags eligible employees at the relevant month. Settlements at end of service cover gratuity as per UAE law, annual leave encashment, and leave salary settlement.

The system tracks expiry dates for all four key employee documents: Passport, Visa, Emirates ID and ILOE (insurance). Automatic alerts are generated before each document expires, giving HR advance notice to initiate renewals without scrambling at the last minute. Company document expiry is also tracked on the dashboard. Certificate and memo formats are customised to IGT's branding as shared by the company.

When an employee exceeds 4 late instances, a half-day deduction is generated. At 6 instances, a full day deduction is triggered. The HR team does not need to compile or calculate these manually before payroll.
Tenure-based leave accrual applied correctly for all employees from day one The system applies the correct accrual rate automatically based on each employee's length of service and working week category. Employees in their first 6 months accrue nothing. After 6 months, the rate changes. After 12 months, it changes again based on working week. Payroll and Payment Integration:

WPS SIF files are generated for International Group Trading Co LLC after each payroll finalisation. Salary disbursement is supported through both standard bank transfer and C3 (Edenred UAE) prepaid wage cards, with the system generating the appropriate transfer files for each payment method. The payroll cutoff is set on the 20th of each month.

Attendance and Late Penalty Engine:

The time and attendance module processes check-in and check-out records from both biometric terminals and the mobile app, compares each entry against the employee's assigned shift start time, and applies the late marker when the threshold of 15 minutes is exceeded. At month-end, the system counts late instances per employee and generates the appropriate payroll deduction, half day or full day, based on the configured penalty thresholds.
